Information You Provide

When you sign up for a membership, purchase a day pass, book a class, or contact us, we may collect:

• Mailing or billing address
• Payment and billing information (processed through Club Automation)
• Date of birth (for age verification or certain membership types)
• Emergency contact information
• Health-related information you voluntarily provide (e.g., on liability waivers)

Information Generated Through Use

Through your ongoing use of our Services, we or our service providers may also collect:

• Class bookings, check-in records, and facility access logs
• Communications with staff (emails, messages, support requests)
• Transaction history (payments, membership changes, cancellations)

We do not sell your personal information to third parties for their own marketing purposes.

Third-Party Sharing

• Club Automation — Our primary gym management software and billing platform. Club Automation processes membership data, payments, class scheduling, and access control on our behalf.
• Payment processors — Companies that facilitate the secure processing of credit card and ACH transactions in connection with your membership or purchases.
• Collection agencies — In the event of unpaid balances, we may share account information with collection service providers as permitted by law.
• Analytics providers — We use Rybbit, a privacy-friendly analytics platform, to understand aggregate website traffic (see Website Analytics).
• Professional advisors — Attorneys, accountants, or other advisors when necessary for legal, compliance, or operational purposes.
• Legal authorities — We may disclose information if required to do so by law, court order, or in response to a valid request from a governmental authority.

We require our service providers to use your information only as necessary to provide services to us and in a manner consistent with applicable law.

Club Automation & Mobile App

Our membership management and billing are powered by Club Automation, a third-party gym management platform. When you create a member account, book classes, manage your membership, or make payments, that activity occurs within Club Automation's systems.

Kingdom Fitness also offers access to a mobile application provided by Club Automation. Through the app, you can manage your account, schedule classes, and interact with your membership.

Website Analytics

We use Rybbit to understand how visitors interact with our website. Rybbit is a privacy-friendly, open-source analytics platform that collects only aggregate, anonymized data — it does not use cookies, does not fingerprint individual users, and does not track visitors across websites.

The data collected through Rybbit includes general metrics such as page views, approximate geographic region, referral source, and device type. No personally identifiable information is collected or stored through this tool.

We chose Rybbit specifically because it provides the traffic insights we need to improve our website without compromising your privacy.

Cookies & Tracking Technologies

Our primary website does not use tracking cookies or behavioral advertising technologies. Our analytics tool, Rybbit, is explicitly cookie-free.

However, if you access the Club Automation member portal or mobile application, those platforms may use their own cookies and tracking technologies in accordance with their own privacy practices. Please refer to Club Automation's Privacy Policy for details on how they use these technologies.

Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes described in this Privacy Notice, unless a longer retention period is required or permitted by law. In practice, this means:

• Active membership records are retained for the duration of your membership and for a reasonable period thereafter for administrative purposes.
• Billing and transaction records may be retained for up to seven years to comply with tax and accounting obligations.
• Communications and support records are retained as needed to resolve inquiries or disputes.
• Information processed and stored by Club Automation is subject to their own retention policies. Deletion requests directed at Club Automation-held data must be addressed through their platform.

When personal information is no longer needed, we take reasonable steps to securely delete or anonymize it.

Security

We implement reasonable administrative, technical, and physical safeguards to protect your personal information from unauthorized access, disclosure, alteration, or destruction.

Payment card information is not stored directly by Kingdom Fitness. All payment processing is handled by Club Automation and their payment processor partners, which are subject to industry-standard security requirements including PCI DSS compliance.

Your Rights

Depending on your location and applicable law, you may have certain rights regarding your personal information, including the right to:

• Access — Request a copy of the personal information we hold about you
• Correction — Request that inaccurate or incomplete information be corrected
• Deletion — Request deletion of your personal information, subject to legal retention requirements

For information held within Club Automation's systems, you may also need to contact Club Automation directly to exercise your rights against their platform.

Children's Privacy

Our Services are not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us and we will take steps to delete that information.

Individuals under 18 may access Kingdom Fitness facilities only with appropriate parental or guardian consent and in accordance with our membership policies.

We may update this Privacy Notice from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we do, we will update the "Last Updated" date at the top of this page.
